We are seeking a highly motivated Client Service Administrator with strong clerical, organizational and communication skills to support our growing firm.
Job Description:
The Client Service Administrator is dedicated to the Operations team of the firm. The position is administrative, with client interaction for new and existing accounts. The well-qualified candidate will have a business, accounting, finance, or a similar discipline background. An ideal candidate will be a self-starter able to work well both independently and collaboratively, under tight deadlines with shifting firm priorities in response to client needs.
Responsibilities (Including, but not limited to):
The Client Service Administrator will draft, coordinate signatures on, submit and file financial account opening paperwork for new clients and updates to same for existing clients. This position will keep records per Financial Industry Regulatory Authority (FINRA), broker-dealer and Condon Sullivan requirements; enter and retrieve data in Client Relationship Management (CRM) database; perform client service such as beneficiary or address changes, password resets, and tax document requests; execute client cashiering requests such as distributions, linking banking accounts and coordinating Required Minimum Distributions; draft business communications and correspondence, both hard copy and electronic; mail, scan and fax documents, or receive documents via same and take appropriate action; and receive client deposits and drop daily cash deposits with associated accounting. This position will also assist in all general office administrative tasks.
Qualifications and Skills:
- Minimum 2-year College Degree Required
- Series 6, Series 7, Series 66 highly desired
- Excellent communication (both written and verbal), time management and organizational skills required
- Must be process and detail oriented
- Must be comfortable with using software and data platforms
- High level of integrity, confidentiality and discretion
- Experience with MS Office Suite (Excel/Word/Outlook, etc.)
- Experience with CRMs preferred • Other Software experience a plus: ZOOM/GoToMeeting and other online meeting platforms; Docupace; LaserAPP; eMoney, DocuSign, Salesforce; Betterment
Hours/Location:
This is a full-time position of 40 hours per week.
Compensation and Benefits:
Salary for this Client Service Administrator position, commensurate with experience, is from $47,940 to $53,500 annually, with potential bonuses. Bonuses are determined by corporate financial results and individual performance each year. Potential for the career oriented Client Service Administrator to continue education and seek certification under direct Certified Financial Planner supervision and guidance. First year paid time off is 14 days annually. Additionally, the company observes all bank holidays.
